Job Description
As the Executive Assistant you will be responsible for the following:
Executive Support: Provide high-level administrative support to the executive team, including managing calendars, scheduling meetings, coordinating travel arrangements, and handling correspondence.
Language Support: Serve as a key liaison between English-speaking and Mandarin-speaking stakeholders, translating documents, emails, and other communications accurately and efficiently. Interpret during meetings, presentations, and conference calls to ensure effective communication.
Administrative Tasks: Prepare and edit correspondence, presentations, and reports in both Mandarin and English. Maintain accurate records, files, and databases. Handle confidential and sensitive information with utmost professionalism and discretion.
Project Coordination: Assist with project management activities, including tracking project progress, organizing meetings, preparing agendas, and documenting minutes. Collaborate with cross-functional teams to ensure timely completion of tasks and adherence to project deadlines.
Relationship Management: Build and maintain strong relationships with internal teams, external partners, and Mandarin-speaking clients. Act as a point of contact for inquiries and provide exceptional customer service.
Research and Analysis: Conduct research, gather data, and prepare reports on industry trends, market analysis, and competitor activities. Provide insights and recommendations to support strategic decision-making.
Event Coordination: Assist in planning and organizing company events, conferences, and trade shows. Coordinate logistics, manage vendor relationships, and ensure smooth execution of events.
The Successful Applicant
Bilingual Proficiency: Fluent in Mandarin and English, with exceptional written and verbal communication skills in both languages. Able to accurately translate and interpret complex information.
Administrative Experience: Proven experience as an executive assistant or in a similar administrative role, preferably within the consumer goods industry. Familiarity with administrative and project management tools is a plus.
Organizational Skills: Strong organizational and time management skills, with the ability to prioritize tasks, handle multiple projects simultaneously, and meet deadlines in a fast-paced environment.
Professionalism and Discretion: Demonstrated ability to maintain confidentiality, handle sensitive information, and exercise sound judgment and discretion.
Cultural Sensitivity: Understanding and appreciation of Chinese culture and business etiquette, with the ability to navigate cross-cultural communications effectively.
Attention to Detail: Meticulous attention to detail, ensuring accuracy and quality in all tasks, including document translation and proofreading.
Adaptability and Initiative: Flexible and adaptable to changing priorities and able to take initiative and work independently when required.
Technology Proficiency: Proficient in using MS Office Suite (Word, Excel, PowerPoint), email and calendar management tools, and comfortable learning new software and tools as needed.
Bachelor's Degree: A bachelor's degree in a relevant field is preferred, but equivalent work experience will also be considered.
What's on Offer
$60-90k base salary depending on experience - flexibility to work remotely 1-2 days a week and competitive benefits and PTO.
