Job Description
Assist with overall administrative management of the office including but not limited to:
- Manage facilities to ensure a clean, comfortable and safe work environment, manage office expenses, coordinate moves, etc.
- Manage the Facilities team, which will be the cleaners, porters, and security personnel
- Develop and oversee the implementation of Facility Management Services policies, procedures, and controls covering all areas of activity so that all relevant procedural/legislative requirements are fulfilled while delivering high-quality and cost-effective results
- Ensuring the ongoing productivity and effectiveness of our office
- Monitor day-to-day activities to ensure risk compliance with regulations, local state, federal, and landlord/building management requirements
- Manage and ensure the provision of quality hospitality services for all staff, teams, and projects, and ensure a clean and healthy environment
- Manage office workload in conjunction with utilization of the firm's administrative support services
- Organize office events
The Successful Applicant
- Bachelor's degree
- 6+ years experience in facilities management, procurement, and executive support, ideally from a financial services firm
- Great written and verbal communication skills
- Self-starter, able to work independently with the ability to quickly resolve key issues with little oversight
- Good problem-solving, critical thinking and decision-making skills
- Exceptional organization, time management and multitasking abilities
- Keen attention to detail
- Thorough understanding of development, implementation, and budget management
- Exceptional talent in negotiating and networking
- Exceptional communication skills with the ability to foster strong supplier relationship
